How information moves through our website and messaging program, and the choices you have.

Who this policy covers

This policy explains how SmartInterop Corp handles information through smartinterop.xyz and the SmartInterop SMS program. The program is intended for clinicians and clinical staff participating in a case-review workflow.

It covers messages sent under the SmartInterop brand. A medical practice or another organization operating its own messaging program is responsible for its own privacy notice and consent process.

The SMS sections describe how information is handled for SmartInterop SMS. See the SMS enrollment page for the consent process.

Information we handle

  • Messaging information: your mobile number, information you choose to provide about yourself, incoming and outgoing messages, timestamps, and delivery or error information.
  • Consent and preferences: enrollment messages, the date and source of consent, and requests to stop or resume messages.
  • Clinical workflow information: synthetic or de-identified case submissions, related questions, AI-generated drafts, and feedback you choose to provide.
  • Website and support information: information you provide when contacting us, and technical information such as IP address, browser details, and request metadata processed by our hosting and security providers.

The public website does not contain advertising pixels or analytics scripts. Hosting and security providers may use technical logs or security cookies to deliver and protect the site.

How information is used

We use information to operate the requested workflow, deliver messages, maintain conversation and case records, produce AI-assisted drafts, respond to support requests, troubleshoot failures, protect the service, and honor communication preferences.

Clinical workflow messages include case-intake questions, requests for missing information, draft summaries, and workflow updates. Message frequency varies with your participation. Message and data rates may apply. Marketing and promotional messages are sent only to participants who separately checked the optional marketing consent box on the enrollment form; that consent is independent of clinical-workflow consent and can be declined or revoked without affecting workflow messages.

Mobile information and consent

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. We also do not sell, rent, or share mobile numbers, mobile information, SMS opt-in records, or consent with third parties or affiliates for marketing or promotional purposes.

SMS consent applies only to SmartInterop SMS at (447) 226-0123. Participants review the SMS enrollment instructions and submit the enrollment form. This is the only enrollment method. Reading this website, sharing a phone number, or accepting general terms does not give SMS consent.

We do not transfer consent to another business or use it to enroll you in a different campaign. Service providers may process the limited information needed to deliver messages, maintain preferences, or support the program on our behalf. This does not give them permission to use your consent for their own messaging or advertising.

Service providers and disclosure

Operating the service involves messaging, hosting, security, and AI service providers. Twilio and telecommunications carriers process phone numbers, message content, delivery information, and messaging preferences to provide SMS. Cloudflare helps deliver and protect this website.

The workflow assistant can send submitted case text to AI providers, including OpenAI and Anthropic, to prepare draft responses. Those providers process information under the terms and settings of the service being used. Processing may occur in the United States or other countries where a provider operates.

We may disclose information when required by law or when necessary to address abuse, protect rights, or respond to a security incident. These purposes do not authorize sharing mobile information or SMS consent for marketing.

Case information and security

Submit only synthetic or properly de-identified case information. Do not send patient names, dates of birth, medical record numbers, identifiable reports, images containing identifiers, or other protected health information through this program.

This is a service, not a clinically validated diagnostic service. SMS is not end-to-end encrypted and may be visible on devices, in notifications, and to messaging providers. Do not use it as an emergency or clinical-care communication channel.

Access restrictions and security controls reduce risk, but no storage or transmission method guarantees complete security. If you send sensitive information by mistake, contact us without repeating the sensitive content.

Storage and retention

Case records and related workflow outputs may remain stored until they are deleted. Sending STOP or ending a conversation does not automatically delete previously saved cases or message records.

We retain information as needed to operate the program, handle support, maintain consent and opt-out evidence, address security issues, and meet applicable obligations. Retention depends on the record and service; this policy does not promise automatic deletion after a fixed number of days. Provider logs and backups may have separate retention periods.

We may retain a limited opt-out record after other information is deleted so that we continue to respect your request not to receive messages.

Your choices and requests

When messaging is active, reply STOP to unsubscribe from the SMS program. You may receive one confirmation of your opt-out. Reply HELP for program assistance when messaging is available. Re-enrollment requires a new opt-in through the SMS enrollment instructions. Program support is available by email at jenny@smartinterop.xyz.

You can contact us to request access to, correction of, or deletion of information associated with you. We may need to verify your identity and may retain information required for security, consent records, or applicable obligations. Please identify the relevant program and request without sending patient information.

Your data remains yours. Providing information for the workflow does not transfer ownership of your materials to SmartInterop. Commercial ownership and software-license terms are addressed separately in your service agreement.

Policy updates

We will update the effective date when this policy changes and provide additional notice where required. A policy update does not enroll you in messaging or authorize new marketing uses of mobile information. A new messaging purpose requires an appropriate consent process.
